Administrative Heads Meeting 6/2000

Meeting 6/2000 of the Administrative Heads Group was held at 8.30am on Thursday 16 November 2000 in the Council Room, 1st Floor, University Offices Building 3a, Clayton campus.

MINUTES

1. Attendance and apologies

Apologies were received from Professor D Robinson (Vice-Chancellor), Professor P Darvall, (Deputy Vice-Chancellor – Research and Development), Mr P Marshall (Divisional Director – Student & Staff Services), Mr T Pollock (General Manager – Monash International Pty. Ltd.) and Dr S O’Kane (Faculty Manager – Business and Economics)

2. Minutes

The minutes of meeting 5/2000 were confirmed.

Matters arising from the minutes not dealt with elsewhere in the agenda

Members were advised that that the Insider Trading Policy and Equity Participation in Monash Commercial Entities paper would be considered by Council at its meeting on 13 November 2000.

4.4.1 Future Campus Developments – Incubators

Introducing this item, Ms Crook advised members that planning was underway to establish a technology precinct at the western end of the campus.

Dr Tom Forgan, former Chief Executive Officer of Australian Technology Park and consultant to Monash provided members with an overview of the vision, establishment, objectives and achievements of the Australian Technology Park and how these related to the project underway at Monash.

4.4.2 Activity-based costing

Mr John Levine, Divisional Director – Financial Resources Management Division, advised members that the project-team were currently developing a model for the costing out of administrative services.

4.4.3 Monash Commercial

Ms Alison Crook, Deputy Vice-Chancellor – Resources, spoke to this item.

Members were advised that Council had approved the establishment of Monash Commercial to further leverage the intellectual and physical assets of the University. Further, members were advised that Monash Commercial would operate with a Board and Support Group and be responsible for several groupings of commercial entities.

4.4.4 Callista Update

Introducing this item, Mr John Julian, Director – Integrated Administrative Systems Project advised members that the Callista project was currently on schedule and under budget. During an update on the status of the project, Mr Julian reported that four Universities were now "live" with Callista with three to go "live" in 2001, that the business of Deakin Software Services was now on a more secure footing and users of the software were likely to see a convergence between the DSS product and the Oracle based product over time.

Concluding discussion on the item, Ms Crook advised members that this was Mr Julian’s last meeting as he was leaving Monash at the end of January. Ms Crook noted that the implementation of SAP and Callista was a tribute to Mr Julian’s leadership and that she, on behalf of all at the University, wished to thank John for his valuable contribution and wished him success in his new appointment.

Members of the Administrative Heads Group endorsed Ms Crook’s comments with acclamation.
