Global Emails

The Media Communications Unit is responsible for the distribution of global emails throughout the University. Global emails are used to facilitate communication and ensure that all staff receive important announcements. Staff may receive the following emails from the global email manager:

Urgent Global Emails

These alert staff to significant announcements of an urgent nature, such as IT virus or system warnings, health and safety, security issues, and important messages from the Office of the Vice-Chancellor or the Deputy Vice-Chancellors.

Notices Bulletin

Sent on Mondays, covering announcements and activities. Items specific to certain campuses (eg traffic and building works, campus lectures, upcoming conferences) will be identified as such. Other examples may include notices from ITS, OHSE, Student and Staff Services, Security and Traffic and Performing Arts. The deadline for the Notices Bulletin is noon on Friday.

Advertising Bulletin

Sent on Fridays, tailored for each campus and including items such as sales (eg The Bookshop, Monash Club), special deals, sports and recreation information, short courses and tickets to performances. The deadline for the Advertising Bulletin is noon on Thursday.

Monash Memo Online

Monash Memo Online is sent to all staff every Wednesday. In addition to the news articles written by the Media Communications staff, Memo Online includes links to Employment, What's On and news sites from a range of Faculties, Campuses and Support Services. It will repeat the Notices Bulletin of the previous Monday.

Submitting Items

Staff needing to alert the university to an urgent matter through a global email should first contact the Media Communications unit on extn 59314.

Staff wanting items included in the Notice or Advertising Bulletins should send the information to global.emails@adm.monash.edu.au. For those submitting events, seminars or guest lectures to be promoted within the University community please include the following information: host of the event (eg Monash Asia Institute), title of the event, location, date and time, brief event description and a contact extn, website or email address for people wanting further information. A 150 word limit applies.

Staff should highlight any time sensitive information to ensure outdated emails are not distributed. If you are uncertain into which category an item falls, contact Media Communications for clarification on extn 59314.

Deadlines

The deadline for the Advertising Bulletin is Thursdays at noon.
The deadline for the Notices Bulletin is Fridays at noon.

Due to a high demand for this service, Media Communications cannot guarantee inclusion in the email bulletins, but will endeavor to meet all requests. Media Communications reserves the right to determine the suitability of any global email request.

Global emails to students

A separate framework exists for student global emails. Submissions for emails to be sent to all students should be emailed to Gerard Toohey, Manager, Student Administration, Student and Staff Services, gerard.toohey@adm.monash.edu.au.
