Paying for travel bookings

Travel bookings need to be charged to a University Credit Card – Mastercard.

For bookings made through HRG  or Voyager the following payment options are listed, in order of preference

  1. Charge to the traveller's University MasterCard
  2. Charge to your departmental travel booker's University MasterCard

NOTE: If the total is too great for a MasterCard eg: Group bookings, please contact the TMC to arrange for payement via EFT (Voyager) or via 7 day Invoice (HRG). A Purchase order (PO) must be raised for purchases such as these.


Fare Matching

Voyager Travel is the only travel manager who will endeavour to match cheaper fares provided by non endorsed travel managers.

The fare being matched must be for a confirmed itinerary (not just a quotation) and the booking must have been made within the past 48 hours.

As a strategic supplier, Voyager Travel must be given the final opportunity to match or beat a fare. If they do match or beat a fare then the traveller is obliged to accept that and complete the booking with Voyager.

In some circumstances, travel bookings can be made through an alternate travel agency. The reasons for using an alternative travel agent are:

1) Frequent flyer points used

2) Travel expenses are being paid for by a third party

3) Research student obtains a (cheaper) student fare

If a booking falls in to one of these categories, then the traveller must seek approval from the travel office - traveloffice@adm.monash.edu.au  . The traveller must provide the quote and itinerary for all reasons.


Visas

In order to receive authorisation for international travel, staff and postgraduate research students need to prepare a Travel Plan. This plan must include a listing of visas required for proposed destinations. Staff and postgraduate research students who are contemplating travel to international destinations are advised to familiarise themselves with the requirements for visas to these destinations. This should be done well in advance of their travel.

General advice on the need for visas and other permits can be obtained by contacting a HRG or Voyager consultant, who are trained travel consultants familiar with most of the visa regulations.
