Hotels

The travel office is currently undertaking a review of accommodation purchased by Monash University. It is estimated that a new programme will be in place by June 2009.

It is recommended that for International travel, accommodation is booked with the TMC that has booked the airfare. This ensures that the main components of the itinerary are consolidated and any changes can be easily managed.

As an alternative, GDM Hotels offer a service to the University for International accommodation - please refer below.

About Global Destination Management

Global Destination Management ( GDM ) are an accommodation consolidator that specialise in securing competitive hotel rates for a number of universities in the National Universities Travel Consortium (NUTC) and for other non-NUTC clients.

GDM negotiate rates with specific hotels, in a range of locations, rather than having a global agreement with a hotel chain. The rates that have been negotiated are not available through the more traditional Global Distribution System that is normally accessed by travel agencies. As a consequence, there is no "middle man" fee and this leads to better rates.


Access to GDM hotels using the GDM Hotels on-line booking engine

Monash University has subscribed to the on-line hotel booking facility that has been set up for Australian-based universities by GDM. The highly competitive rates have been arranged by Global Destination Management with specific hotels in both Australian and overseas locations.

The GDM hotels can be accessed via an on-line booking facility that is hosted by an Internet Service Provider (ISP ) called GDM Hotels.


GDM fees

GDM charge a set fee for booking hotels under their negotiated rates. Currently, the fee for Monash University is $6 +GST per room per night (rate changed from 1st January 2006). When you book GDM hotels via the GDM Hotels website then the credit card details you are required to enter are used to charge the GDM fee. The room night fee, payable to the hotel, is usually settled when you check out of the hotel and is charged separately to the GDM fee.

The following instructions outline how you can easily book a GDM hotel using the GDM Hotels website.
Please note: The GDM Hotels   website works best in Internet Explorer.

Automatic connection: To access GDM Hotels website you will need to be a registered user and apply for and use a specific username/password (see registration details below).

If the direct connection fails or you are outside of Monash University see registration details below.

Registration outside of Monash:


To be able to connect to the GDM Hotels  site from an external connection (i.e. when using a notebook or other PC when travelling), you will first need to apply to be a Registered User.

Registration is via the GDM Hotels site only. Once registered, you will be issued with a personal username and password. This is done via email.

If you are currently outside of Monash (i.e. at home or in a hotel room) and cannot connect to the GDM Hotels site via a Monash address or portal, then you can also register for a personal Username and password by emailing directly to - admin@gdmhotels.com.au.

You may be required to prove that you are a staff or student member of Monash University (usually by having a valid email address) before registration will be granted.

Once you have a personal username/password you can click on the Login screen to login.

This service is not operated by Monash University. Consequently, your personal information will be collected by Global Destination Management who may forward it to Monash University.

Useful forms for booking GDM negotiated hotels

There are two forms that may be required when booking a GDM -negotiated hotel via the GDM Hotels website. These are used when a hotel may request credit card details, in advance, to secure a booking and/or when the intended hotel guest is not the carrier of the credit card and you may be required to provide authorisation to charge another person's credit card.
