Privacy statement in relation to Monash University travel, use of the preferred TMC and collection of traveller data
Monash University has two endorsed
travel management companies (TMCs ), HRG Australia and Voyager
Travel Corporation, that facilitates the booking of all business
related travel for the University.
Staff are
advised that the travel data collected by the nominated agent is
also fed into the Flightlock system that the
University has engaged to be able to efficiently track its travelling
staff and fulfil its duty of care in respect of those staff.
The personal information that you provide to HRG or Voyager
is for the primary purpose of booking your Monash University business
related travel. Other purposes of data collection, facilitated via
the Flightlock system, include monitoring
of details for Monash University travel insurance purposes, traveller
locator reporting, statistical analyses and other administrative
purposes. If you choose not to provide the information requested,
it may not be possible for you to undertake university related travel.
Please be aware that Monash University uses a third-party
based in the USA, namely Nextfeed Pty Ltd, to host the
Flightlock system. Nextfeed is contractually bound to
treat any personal or health information that it hosts with the same
level of privacy protection as Monash. In booking your university
travel with HRG
or Voyager you acknowledge that it may be necessary for Nextfeed
to have access to personal information in order to perform its contract
with Monash. In addition, as the Flightlock
system is hosted in the USA, it may be subject to other legislation
and regulations.
