Mapping Monash: Understanding and improving our processes

Two day program

Target group: 1. Managers or supervisors with a small group of staff who wish to work on an agreed process in the longer term. The group could be intact teams or cross-functional teams who share responsibility for administering a common process (e.g. academics and faculty support services; central and faculty-based support services, who wish to work together to 'map' and improve a core business process).

2. A group identified to document and improve a core process selected and prioritised by their managers or through a group such as Deputy Faculty Managers' group or SLA coordinators. The process mapping and improvement conducted by these workshop participants is likely to be overseen by the 'Mapping Monash' project team, and a mentor identified to facilitate their work. This group would all participate in the same workshop and work on that process - even in generic form. Results would be posted on the CHEQ website for use or modification by individual faculties or divisions.

Prerequisite: At least two participants from each group should be proficient in the use of Microsoft Visio, or should complete the SDU course on using Visio for process mapping and improvement tools.
Group size: Maximum of 20
Level 1/2 program: Suitable for staff with limited experience, for staff wishing to refresh their skills or for more experienced staff.

Overview

This two-day workshop is intended to provide knowledge and skills in process documentation, management and improvement, in the context of quality at Monash. The workshop consists of two separate days, with at least a one-week interval between day one and day two. This will provide an opportunity for teams to continue the work begun on the first day back in the workplace, bring their observations to the second day, and use this work as the basis for further knowledge and skill development.

Intended Outcomes

Small teams are equipped to:

  • Progress a project focussed on 'mapping' and improving an important process in their work area
  • Use a structured approach to process mapping and improvement
  • Develop and apply skills in the use of a number of tools in process improvement

Learning Approach

The program is focused on active participation of members in working on an actual process within their work area. A small amount of pre- and post- workshop work is required for each team, and participants will be asked to conduct some workplace investigation of their selected process between the two days of the workshop.

Workshop preparation

  • Managers of participants agree intended outcomes by completing workshop registration form
  • Participants read Monash values and principles and agree how these will apply to the selected work team
  • Team to select any work documents relating to the chosen process - policies, procedures, other forms - to bring to the workshop
